How personalized invitations drove six executive dinner bookings

How personalized invitations drove six executive dinner bookings

Third Way Health wanted to fill an invitation-only executive dinner for healthcare leaders. RevSend combined a handwritten note, branded invitation, supporting materials, and a QR-code RSVP into one coordinated physical and digital experience.

By September 1, six prospects had booked toward the eight-person goal, with follow-up still underway.

Objective

Reach the right healthcare leaders with an invitation worth opening

Third Way Health, a healthcare operations partner combining AI and human expertise, was planning an invitation-only executive dinner at Delmonico’s in New York. The team needed a personal, trackable alternative to another email sequence—one that could reach the right healthcare leaders, coordinate outreach across account owners, and make the dinner feel valuable before guests arrived.

A four-piece invitation designed to earn attention

RevSend assembled a FedEx envelope with four coordinated pieces: a branded 5×7 invitation, a personalized handwritten note, the dinner menu, and a Third Way Health customer case study. The package made the dinner feel considered and credible, while a QR code connected recipients directly to the RSVP form.

RevSend verified mailing details, organized sends in weekly waves, and routed shipment, delivery, and scan notifications to each account owner. Those signals helped the team follow up at the right time without losing the personal feel of the invitation.

The Results

Six bookings, two referrals, and a repeatable event playbook

On August 19, Third Way Health reported its first prospect RSVP through the mailed invitation’s QR code. That attendee referred two more prospects, and the team prepared personal invitations for both. The campaign was generating introductions as well as bookings.

By September 1, six prospects had booked toward the eight-person goal while follow-up continued with other recipients. Third Way Health then launched another executive dinner invitation campaign in Los Angeles using the same four-piece format, making the approach repeatable for future events.

Bookings and referrals reported by Third Way Health in August–September 2026. Bookings are reservations, not verified event attendance.
